Acceptance Timeline (Approx. 3-5 Months)
The overall process takes approximately 3 to 5 months. It starts with the Application and Setup (Step 1), including interviews and joining the cooperative body. This is followed by the Selection Phase (Step 2), involving recruitment and company interviews in the trainee’s country. The longest phase is the Formal Planning and Certification (Step 3), where the training plan is submitted. After Visa Application (Step 4), the process concludes with the trainee’s Entry into Japan (Step 5). Upon arrival, a mandatory post-entry training of one month or more is conducted.
Company Acceptance Eligibility
To accept technical intern trainees, companies must demonstrate financial stability, principally by avoiding three consecutive years of deficit. Strict staffing requirements include assigning a Technical Intern Training Manager (who must complete mandated training and have broad legal knowledge) , a Training Instructor with at least five years of field experience , and a Life Guidance Instructor. Companies are obligated to provide suitable living accommodation , enroll trainees in all required social and labor insurances (Health, Pension, Employment, and Workers’ Compensation) , and rigorously adhere to compliance by not employing illegal workers and reporting any fraudulent activities promptly. The maximum number of trainees accepted is determined by the company’s total number of full-time employees
Key Company Conditions for Acceptance
Accepting companies must be financially stable (no three consecutive years of deficit) and comply with strict personnel requirements. This includes appointing a certified Training Manager , a Training Instructor with 5+ years experience , and a Life Guidance Instructor. The company must provide dormitories , ensure trainees are enrolled in all mandatory labor/social insurance , follow the Scheduled Training Plan , and maintain a Training Log for one year after the trainee returns. Strict compliance is mandatory, prohibiting the employment of illegal workers and requiring the immediate reporting of any fraudulent activity
Financial Health: Must not have three consecutive years of deficit, in principle.
Training Manager: Appoint a certified manager who supervises implementation (re-training required every 3 years).
Training Instructor: Must have 5 or more years of field experience
